RULES OF ADMISSION

EXPOCOMER 2009

 

ARTICLE 1: The Pavilion, module or rented space, may only be used in compliance with any of the objectives of the exposition. The particular use each exhibitor will give to the rented space is set forth in the respective Contract,  expressively, prohibiting a diverse use to its content.

 

ARTICLE 2: The duration of the Leasing Contract of pavilions, modules or rented space, will correspond to the period in which the respective exposition is held and the assembling and disassembling periods. The Leasing contract does not grant any right to the exhibitor over the Pavilion, module or rented space for its use in future expositions.

 

ARTICLE 3:  Exhibitor affirms that, to the best of its knowledge, it has the legal authority for its use of any intellectual property associated with any product or promotional material that it will display, offer, or otherwise use in its exhibit at the trade show/event and it will not knowingly infringe the intellectual property rights of another party.

 

CONSTRUCTION AND DECORATION

 

ARTICLE 4: The pavilions, modules or rented space shall be returned in the same conditions as they were given, so painting or drilling any component of the module is prohibited. Any damage caused to modules PLAN B will have an extra charge imposed by the Official decorator of the exposition and it will be applied by EXPOCOMER organizers.

 

The special decorations (Plan A) must have the approval of EXPOCOMER prior the beginning of the assembling stage of the event, for which the design of these decorations must be turned in for approval 30 days before the beginning of the Exposition. The Exhibitor shall be responsible for the removal of debris, existing materials and the new constructions and decorations made by him, as well as boxes or any other remaining material in the module.  The exhibitor will at all times maintain his or her module free from debris boxes and material not belonging to the exhibition and he or she will have to remove the packaging material and wastes before 11:00 a.m. of the inauguration day and will not be able to use the hallways nor the backside of the modules as trash cans.

 

In any case, the Exhibitor and the Decorator shall follow the construction and decoration rules required by the Exposition and comply with the rules of the Convention Center in which the event will be held.

 

ARTICLE 5: The Exhibitor is responsible of decorating and maintaining its Pavilion, module or rented space in good conditions. No exhibitor shall keep empty modules with undecorated interiors. In the same matter, an excessive volume of merchandise inside the module will not be allowed.

 

ARTICLE 6: The modules PLAN A or  PLAN B that by 8:00 p.m. of the last day of the assembling stage remain empty or undecorated, will be sold,  transferred or eliminated by the Institution, without refunding the Exhibitor for the amount paid.

 

ARTICLE 7:  THE EVENT ORGANIZER, will be able to stop any work taking place if he or she considers it inadequate or to arrange the decoration or change the decoration elements, especially when the exhibitor has not sent its draft or when the plan does not show some details of the decoration.

 

ARTICLE 8 :   In regards to the exterior, when dealing with automotive vehicles, motorcycles, jet skies, four wheels and other similar vehicles, its displayed exhibition will only be allowed in one level, having to maintain a distance of 1.50 meters between each displayed unit.  When the reserved place exceeds 36

square meters, the exhibitor will use no more than 70% of the rented space for its exhibition and will reserve 30% of the rented area for the free circulation of the visitors inside the module.

  

ARTICLE 9: The exhibitor shall be held responsible and must respond to EXPOCOMER for any damage caused to the rented space, to the Convention Center or third parties, by its personnel or contracted vehicles.

 

ARTICLE 10: The Exhibitor that leases Plan A (without decoration), shall request and pay in advance for the electrical services using the proper form, and will be subject to inventory of electrical consumption inspection done by the Convention Center.

 

ARTICLE 11: If the Exhibitor of Plan B (with decoration) requires a higher electric consumption than the one included in the plan, it shall be requested in the proper form, at the EXPOCOMER offices, paying for an extra charge at the moment of its request.

 

The electrical installations shall be performed by local licensed personnel and coordinated by the electricity personnel of the Convention Center, with prior notice to  the EXPOCOMER offices.

 

ARTICLE 12: It is forbidden to place in the pavilions, modules or spaces any objects, signals, posters, advertising or to broadcast through any other media, audio or visual, messages of political nature or offensive to the moral and good customs, or that EXPOCOMER may deem inconvenient for the maintenance of good relations between the Exhibitor and the general public. It is also forbidden to display explosive or flammable elements, or that the organizers of the event consider dangerous, inconvenient or inappropriate for the exhibition.  In these cases the organizer of the event will reserve the right to remove the elements that contain the above mentioned characteristics.

 

ARTICLE 13:   THE EXHIBITOR, in common agreement with the organizer of the event, will set a schedule for the supply of the products needed for the maintenance of the module during the exhibition, the EXHIBITOR will not be able to change this schedule without previous authorization of the organizer of the event for which a cause of major force must exist.

 

ARTICLE 14:  The Exhibitors may not contract any artistic groups, loud speakers or similar devices to be used and present in their Pavilions, modules or spaces, without previously authorization of EXPOCOMER. The utilization of loud music or sounds that affect other exhibitors or the exposition in general, will not be permitted.

 

ARTICLE 15: The exhibitor shall not be allowed to distribute leaflets, brochures, advertising samples or to promote demonstrations outside the contracted pavilion, module or space.

 

ARTICLE 16:  The tasting of food and beverages will be regulated by EXPOCOMER. Every Exhibitor must request authorization prior to any tasting activity. Liquor sale is prohibited.

 

ARTICLE 17: The construction, decoration, equipment and installation of products within the pavilions, modules or spaces shall be accomplished by March 3, 2009  at 8:00 p.m.

 

ENTRY OF VEHICLES AND GOODS

 

ARTICLE 18: The access of vehicles and the loading and unloading traffic conditions, shall be carried out in accordance with the rules established by EXPOCOMER. Merchandise may be introduced to the exhibition area only before 11:00 a.m. of the inaugural day.

 

ARTICLE 19: All goods entering the Exposition shall be exhibited. Any sample or product exhibited must be presented with exhibition criteria, without packaging and placed in such way that the public has access to their demonstration.  The merchandise may only be withdrawn from 8:30 a.m. of the day after the culmination of the Exposition (first day of disassembling) and in accordance with  the schedule provided by EXPOCOMER.

 

ARTICLE 19: Nationalized goods not requiring of customs proceedings, shall be registered in the Convention Center Security Department, upon its entry and withdrawal of the exhibition premises.

 

 

SECURITY

 

ARTICLE 20: The Exhibition shall provide day and night security, but EXPOCOMER will not  held responsible for theft, loss or any other damages that may be occur to persons, installations, articles, within the Exposition area.

 

Any extra security service required by the Exhibitor must be contracted with the Official Designated Security Agency assigned by EXPOCOMER.

 

 

ACCIDENTS

 

ARTICLE 21: The Exhibitor shall take the necessary steps in order to prevent accidents and other damages, from the very moment in which it takes possession of its module, to the moment of abandoning it. EXPOCOMER is not responsible for any personal damages caused or suffered by the Exhibitor.

 

SALES

 

ARTICLE 22: Retail sales to the public will not be permitted during the development of the exhibition. The products under exhibition can only be sold to the merchandisers and will not be delivered until the last exhibition day and complying with customs requirements.

 

SCHEDULE AND OFFICIAL RECEPTIONS

 

ARTICLE 23: The Exposition shall remain open according to the established schedule. This schedule is mandatory for the Exhibitor.

 

The Exhibitor wishing to offer receptions in its pavilion, module or space may held them, with prior authorization of EXPOCOMER.

 

The Exhibitor must be present and maintain open to the public, its pavilion, module or space, during the schedule established by EXPOCOMER, and must display the merchandise exhibited until the last day of the Exposition day.

 

LIABILITY

 

ARTICLE 24: EXPOCOMER does not assume any responsibility for loss, thefts, damages and deterioration in general which occur or may suffer the Exhibitor and their dependants, to the persons, to the general public, to the goods or any other objects which may be in or kept in the pavilions, modules or spaces, in the Exposition premises or in the parking lots.

 

ARTICLE 25: The Exhibitor must wear appropriate clothes during the event. The use of short pants or any other dress not in accordance with the event, will not be allowed.  Minors under 18 years old will not be allowed entry.

 

ARTICLE 26:  Due to security measures, smoking is prohibited inside the Atlapa Convention Center.

 

STORAGE CHARGES

 

ARTICLE 27: All exhibited merchandise must be withdrawn from the leased modules on the first day of the disassembly in accordance to the schedule established by EXPOCOMER. If after the last day of disassembly, the exhibitor has not withdrawn its merchandise from the Exhibition premises, EXPOCOMER will not be responsible for any loss or damage it may suffer, nor shall it be responsible for the storage charges applied by the Convention Center, to the Exhibitor.
